Improving options for Age Grade Registration in GMS

Over the last two seasons, parents/guardians and club volunteers have done a great job in registering their children as Age Grade players on the RFU Game Management System (GMS). Online Age Grade Registration ensures that parents and players are in control of their unique individual record through their lifetime in rugby and that their data is secure and protected. It provides consistent, accurate and up-to-date information for clubs and the RFU to help players and parents enjoy their Age Grade Rugby and transition into the adult game.
We are focused on responding to feedback we have received through age grade registration rollout in the last 2 years. Some feedback shows there would be benefit for some groups of players to be able to manage their own record and registration, without the requirement for a parent/guardian to complete specific tasks.
The priority is that Age Grade Registration will always remain an adult-led process as are all out-of-school activities and clubs, for safeguarding and data protection reasons. However, in the limited circumstances where regular parental engagement is genuinely not possible for a club or parents become less involved for older teenage players, we are making available a new optional feature. This will enable the player, with consent, to take on management of their own record, to be able to register or renew themselves as a player and to purchase courses if over the minimum age required/have completed the pre-requisites.
By enabling an individual (only available from aged 13 or older) to take control of their record we are:
- Ensuring that the individual has visibility of their online Rugby profile, promoting the ‘’record for life’’ principle.
- Removing a potential barrier to online registration completion when parental engagement is not possible.
- Supporting young individuals to engage in further opportunities, such as booking a course.
- Allowing an ‘’optional’’ process that aligns with online activity/access outside of rugby, such as having social media accounts, email, school/college profiles etc.
The process of transferring ownership to the player is as follows
Theparent/guardian will have an alert message on their own GMS profile dashboard advising to add an email address to the child record should they wish the child to manage their own account.
Please note this is optional and if the parent closes the alert message it will not be visible for rest of the season.
Once an email is saved, an email will be sent to the individual prompting them to add a password to log into GMS.
Once the individual has verified their account this will then enable them to manage the specific task options: register and renew as a player or book onto a course.
Please Note: If a club administrator adds an email address to a child record and once an email is saved, an email will be sent to the individual prompting them to add a password as per Step 2 above and an email notification is sent to the linked parental record. Management of an age grade record can be only enabled for 13-17yr and if linked to a parental/guardian record (over 18).
Help and Support
We stress, this is an optional feature for clubs, as the priority for safeguarding and data security reasons is for the parent/guardian to register their child where possible.
